Facilitation

Introduction

All organisations have complex and often challenging group conversations.  At times like these, there is a need for a skilled external facilitator who can manage these conversations in a way which optimises healthy engagement from all participants, and ensures the agenda is adhered to and a positive outcome is achieved.

A skilled facilitator supports the process (the how; approach, method and procedure) of the meeting, while the leader and participants engage in the content and intent, (the what: the issue, challenge, agenda, and outcome)

Facilitators help identify the roles and responsibilities for the meeting, they “hold the agenda”, offer processes for problem solving, creating vision, planning and decision making. They bring out the best of the participants observing and enhancing the group dynamics.  The result is productivity, creativity, efficiency, participation and commitment.

Benefits of external Facilitation

Independence and Neutrality

The most important benefit is that the facilitator offers an independent view. The external facilitator is completely neutral and this assures fairness and balance during the process.  This enables a skilled facilitator ask difficult questions that other people may hold back from asking. Asking the difficult questions and engaging the people in getting to the truth of a matter is what skilled external facilitation requires.

Holds the agenda   

A skilled facilitator ensures that the agenda, as much as is possible, is adhered to. This ensures that the process does not get mired or stuck in an unhelpful cycle, rather the process moves forward to an acceptable outcome.

Confidentiality

Situations requiring facilitation requires an environment where people can be encouraged to be open; to ensure this confidentiality within the room and especially from the facilitator is essential to build up trust

Negotiation

Skilled facilitators are very effective at negotiating and overcoming difficulties which may occur during the process. Usually these situations arise due to tense and difficult emotional responses at certain points. External facilitators have a good understanding of interpersonal dynamics and human psychology, and apply appropriate techniques to defuse highly tense situations.
